How to total a timesheet
Hours for a shift = end time minus start time, minus unpaid break. Add every shift in the week. Gross pay = total hours × hourly rate. This page uses decimal hours (7.5 means 7 hours 30 minutes).
Worked example
A shift 9:00 to 17:00 with a 30-minute unpaid lunch is 7.5 hours. Four of those plus one 9:00–15:00 with no break is 37.5 hours. At $24/hour that week is $900 gross.
Overnight work is easier as two lines (evening until midnight, then midnight onward) or as a total you already counted. Paid breaks stay at 0 in the break box.
Nine to five is not always eight hours
A shift from 8:30 to 16:45 is 8 hours and 15 minutes, which is 8.25 decimal hours. An unpaid 30-minute lunch comes off, leaving 7.75 hours. At $21 an hour that day is $162.75 gross. If the lunch is paid, the break box stays at 0 and the day stays 8.25 hours, or $173.25. The page cannot see a punch clock. It only subtracts the break you type.
Overnight work crosses midnight. A line from 22:00 to 06:00 is clearer as two rows, 22:00–24:00 and 00:00–06:00, or as a total you already counted. One row that starts in the evening and ends in the morning will not invent the extra day for you.
Handing the total to payroll
Payroll systems usually want decimal hours, not 7:45. 7 hours 45 minutes is 7.75, not 7.45. The hours and minutes converter is the check when a timesheet app and a pay screen disagree. Add the daily decimals, multiply by the rate, and you should land on the same gross this page prints for the week. Overtime rules are not applied here. If some of those hours are past the threshold, move that slice to the overtime calculator instead of treating the whole week as straight time.
Five shifts, one unpaid lunch pattern
Monday through Thursday, 8:00 to 16:30 with a 30-minute unpaid lunch, is 8 hours a day after the break, not 8.5. Four of those days are 32 hours. Friday 8:00 to 13:00 with no break is 5 hours. The week is 37 hours. At $26 an hour that is $962 gross. If Friday’s short day still had an unpaid 30-minute lunch that you forget to clear, the page takes the break off a 5-hour span and Friday becomes 4.5 hours, and the week falls to $949. The break box does not reset itself between rows. A paid coffee break is not a lunch. Leave it out of the break field or the day shrinks by a rest you were paid for.
Common questions
What if I work past midnight?
Split it into two shifts: one until 12:00 and one after, or enter the total hours for that night.
Are breaks paid?
Only if your workplace pays them. Leave break hours at 0 if the break is paid.
